What is Email Spam ?

Email spam can be defined as unsolicited emails that you receive without consent.

Spam Filtering Techniques

There are many ways to filter spam by the use of software, blacklists, third party spam filter providers, spam filtering hardware, email cloaking services.

Spam Email Prevention

Before we get into ways of spam email prevention it should be brought to your attention that spam is here to stay and there is no sure fire way to stop it, in having said that preventative strategies can be taken to make sure you are not a victim of spam.

Dont publish your email address on your website - Countless times we look at websites where they have boldly displayed their email address on their website for everyone to see (including spammers) email harvesting software is real and its purpose is to checks websites for email addresses and puts them into a database for the spammers to use at a later date.

Dont use your REAL email address or (business email address) to sign up for special offers, prizes, competitions, forums, other websites - This is a common reason for spam, when you give your email address to someone consider that you may also be giving it to a marketing agency who will use your information for marketing purposes and even sell your email address to spammers. I highly recommend you use a non important email address for situations like this or people you dont know. You could get your hosting company to make you a junk email address for example, mitch.trial@myemail.com.au. If you begin to get spam in that account you can safely delete the account without loosing important business information. Generally email hosting providers allow you up to 50 email addresses. This is considered one of the best methods for spam email prevention.

Use a free disposable email service - Trashymail has been around for many years and is a great free service that allows you to have a temporary email address without having to sign up for any sort of account. There is no registration required its very quick and easy to use.

Seperate your business emails from personal emails - Many businesses use 1 email address for everything. They receive emails from friends as much as they do from clients. Not only does this clutter your inbox but its also more than likely going to attract spam and will be much harder to fight the spam if you use 1 account for everything.

Use an email cloaking service - Sneakemail.com has a fantastic paid service were you can create multiple temporary email addresses that filter to your real email address without you giving your real email address. An example is the following, when you send email to sde334as@sneakemail.com all the emails will redirect to your real email address. The good thing about this is that if you ever start getting spam from the temporary email address that was created you can simply delete it and create a new one with out affecting all other emails to your real email address.

Dont click on that unsubscribe link - Some spam will come to your inbox and at the bottom of it it will ask you to unsubscribe. However this is a tactic to confirm your email address and therefore send you even more spam, if you receive spam dont click on the unsubscribe link there is a good chance nothing will happen but you to receive even more spam.


Eliminating Spam

Here are a few ways that can help you eliminating spam to your inbox if you are already a victim of spam.

Use a free spam filtering solution - Of the best free filtering solutions we have found is Spamato. It will help you minimise your spam. Spamato is open-source free software that is compatible with both thunderbird and also outlook. It uses 5 filtering agents to filter out your unwanted spam, making this one of the more powerful filtering systems available. Its easy to install visit the spamato website for download and further instructions.

Use a paid spam filtering solution - Of the best paid solutions we have found that cloudmark desktop is very good. It works for both thunderbird and also outlook. The application works similar to spamato however it uses its own proprietary spam filtering systems, all spam emails will be sent to the junk folder keeping your inbox clean. Its very cost effective also your looking at less than $50 AUD for a pc license that will protect you for 1 year.

Change your email address - Obviously not the easiest solution however its a sure fire way to eliminating spam. If your email address is john@myemail.com change it to something like john.d@myemail.com you can use your last name initial. Once this is done follow the rules and dont give out your email address to just anyone.

Check your email hosting providers settings to make sure spam and virus filtering is turned on - Most hosting providers provide free spam and virus checking at a server level. They generally use 1 type of filtering system that generally does a good job, but not the best and not as good as the ones mentioned in this article. I suggest you call your administrator or the person looking after your hosting account and ask them if spam filtering and virus filtering is turned on, you may find that its not turned on and when it is will make a huge difference. If it is turned on there are certain settings that can be tweaked to get the best out of it ask your administrator to look into that also.

Use hardware spam filtering systems - This is best suited to small businesses with more than 5 computers on a network that suffer from spam and are havng a hard time dealing with it. Hardware based spam filtering systems are the best you can get but are costly. The hardware sites as a new layer of protection between your internet connection and your workstations, any emails that come through will be firstly passed through the spam filter hardware and it will check and clean your emails and only pass through the good stuff. Your inbox will be kept clean as the spam filtering system will keep and eventually destroy the bad stuff.

Spam is the abuse of electronic messaging systems (including most broadcast media, digital delivery systems) to send unsolicited bulk messages indiscriminately

Sneakemail
A email cloaking service that protects your real email address whist being able to have several email aliases for the one email address

Trashymail
A free disposable email service. Useful for signing up to unknown websites, competitions, forums that require some sort of a signup and you dont want to give your real email address

Cloudmark
A paid email filtering solution.
